In the constituent profile there are salutation fields that can be used in letters, emails, and texts. In an individual "Contact" constituent's profile, there are three fields:
- Formal Salutation - auto-populated from the Prefix, Last Name/Constituent, and Suffix fields
- Informal Salutation - auto-populated from the First Name field
- Envelope Salutation - auto-populated from the Prefix, First Name, Last Name/Constituent, and Suffix fields
These fields are editable, so you can override the auto-populated values. You can add spouses names, nicknames, or other forms of salutations as desired.
The mail merge fields Formal Salutation, Informal Salutation, and Envelope Salutation are available for mail merge letter templates, email templates, direct emails, and texts messages.
For "Company" profile types, only the Formal and Envelope salutation auto-populate with the Last Name/Constituent field information.
You can manually add the name of the primary contact or you could add something like "Friends," Supporters," or "Members" for companies that you would like a more generic greeting to be used.
The Informal Salutation field is also one that can be batch updated from the Constituents or Gifts grid. If you find you have several Company Profile records that have a blank Informal Salutation Field, you could update up to 500 at once. Filter the grid for Informal Salutation "Is Empty." Then use the Batch Update feature in the Actions menu to add the appropriate greeting into all the fields. Click Update to add this into all the Informal Salutation fields for all the records included in your view.
